The context
A growing agency, an ATS that could not keep up.
JM Cathala is a long-established recruitment agency in full expansion. Its ATS no longer met its needs: it coped badly with a growing team and with the new demands of hybrid work.
The agency wanted to move to a more agile SaaS tool, able to make use of data built up over more than twenty years.
Before
Several tools, none of them talking to the others.
Consultants lost time juggling between interfaces, and candidate data was scattered.
- An aging ATS
- Excel sheets for client tracking
- LinkedIn Recruiter, in its own silo
The choice
Fourteen tools reviewed. One real criterion.
To be sure of its choice, the team ran a thorough benchmark: fourteen ATS tools reviewed, then two finalists.
The main obstacle was the data migration. Some records had been kept for seventeen years: onboarding had to be structured and support tailored. Marvin was chosen for its ability to deliver a smooth and secure migration, closely followed by the technical team.
The move
From shortlist to follow-up, with no gap in the history.
- 14ATS tools reviewedA thorough benchmark before narrowing the choice.
- 2finalistsMarvin and one other tool. The deciding criterion: taking over the data.
- The migrationSeveral exchanges with the Marvin tech team to make sure all the data would be recovered and imported.
- 2 daysof on-site onboardingDetailed training in the agency's offices, and the first feedback on the tool, gathered on the spot.
- TodayRegular check-ins to make sure the tool still fits the agency's needs and to handle every question quickly.
What changed
The whole process in a single tool.
Moving to Marvin brought the entire recruitment process into one place.
- An automatically enriched talent poolProfiles and their history in a single database.
- A built-in client CRMClient tracking leaves the spreadsheets.
- Multichannel outreach sequencesOutreach goes out from the same record.
- The AI CopilotIt helps consultants quickly judge whether a profile fits.
