Day to day

Two ways to run your business.

Your setup today

Six tools, none of which talk to each other

  • The CRM is something you rigged up yourself β€” a Notion page, a Google Sheet, sometimes a homemade routine. It holds until the third assignment, then follow-ups start slipping through.
  • You only invoice on placement and a process takes weeks. Every hour of admin pushes the next invoice back by just as much.
  • Winning new assignments eats the week: with no sequences, you write every message yourself, one by one, at the expense of the searches already under way.
  • Once you've identified the profile, you still have to go and find their email and phone number somewhere else, and pay for one more tool to do it.
  • Interviews leave nothing behind. Six months later, you know you spoke to someone good β€” and there's no way to work out who.
  • Client updates are handled by hand, over email, and the client still calls to ask where things stand.
  • Quotes, invoices and overdue payment chasers happen elsewhere in a tool that knows nothing about the placement that triggered them. And the upfront deposit gets retyped by hand on every assignment.
  • You don't really know where you stand. How many live assignments, what conversion rate, what revenue to expect this quarter: the answer is in your head, not on a screen.
  • Nobody picks up the work while you're in an interview. What you don't do doesn't get done.

With Marvin

Eight apps, one single set of data

  • A real CRM from day one candidates, contacts and companies in the same database, with follow-ups scheduled and your assignment pipeline next to your placement pipeline.
  • The invoice comes out of the pipeline. Placement confirmed, invoice generated, follow-ups scheduled, and the sync with your invoicing tool happens on its own.
  • Sequences prospect while you recruit β€” LinkedIn, email and WhatsApp, towards your candidates as much as your future clients, with conservative quotas and randomised delays.
  • Enrichment credits included in the licence: email and phone found in 70 to 80% of cases, with no extra subscription.
  • Every interview is capitalised on. Our Note module writes the summary during the call, and semantic search finds it six months later through what the candidate told you.
  • Client portal through a simple URL with no login to create: your client follows candidates in real time, reads CVs and notes, and comments.
  • One-click import from LinkedIn, HelloWork, Indeed, Meteojob, APEC and CVAden, attached directly to an assignment.
  • From quote to payment, without leaving the tool quotes, invoicing in one or several instalments, upfront deposit, automatic payment chasers and payment tracking β€” all attached to the placement.
  • You know where you stand. Live assignments, conversion rate, revenue signed and expected: your business fits on one screen, not in your head.
  • Our Radar module alerts you when a company in your CRM posts a role. The business signal reaches you while you're in an interview.

With Marvin

3times less
than your stack

for a broader scope

A single licence replaces the six lines opposite. And you gain multiposting to 90 job boards, the client portal and market intelligence along the way β€” none of which your current stack covers at all.

What Marvin changes

From the first profile to the invoice, without switching tools.

01

Up and running from your first assignment

No integrator, no project manager, no three-day training course. We import your existing database β€” Excel, Notion, a LinkedIn export or a full ATS β€” we deduplicate and clean it, and you log in to a tidy database.

If you're starting from nothing it's simpler still: you begin empty and fill it as you work, and the extension does the rest.

02

Sequences prospect while you recruit

LinkedIn, email and WhatsApp sequences for your candidates and for winning assignments. They run in the background during your interviews, with conservative quotas matched to your account's tier and randomised delays between sends.

Your LinkedIn account is your livelihood: you see everything that goes out, and you can stop it in one click.

03

Every interview becomes an asset

Our Note module writes a structured summary during the call and pre-fills the fields on the record. Semantic search then digs through CVs and notes: six months later, you find a profile through what they told you, not through the keyword you should have written down.

And every night, Marvin corrects job titles, employers and locations from LinkedIn. Your talent pool is the one advantage you have over an established firm β€” it mustn't be allowed to age.

04

From quote to payment

The quote goes out from the assignment record, the placement triggers the invoice, and you bill in one go or in instalments β€” deposit on signature, balance on start date, however you're used to working.

Payment chasers are scheduled and payment tracking sits in the same place as your pipeline. When you bill on success, cash flow is something you steer rather than something you endure β€” and Marvin Cash syncs with your accounting tool.

05

Your business fits on one screen

Live assignments, candidates by stage, conversion rate, revenue signed and expected: the dashboard fills itself from what you do, with no reporting to produce.

On your own, nobody tells you the pipeline emptied three weeks ago. The tool plays that role, and it tells you before the quarter is decided.

Sovereignty

Your candidate data, with no grey areas.

Scaleway hosting, France

Your data is hosted and processed in France. No transfer outside the EU.

AES-256 encryption

AES-256 at rest, TLS 1.3 in transit, keys held in a managed KMS.

You stay the owner

You can export your data at any time, in a reusable format. We don't hold on to your database if you leave.

GDPR handled by the tool

Consent requested when a candidate is added, automated renewals, profiles purged when they reach their retention limit. On your own, that's the compliance you can't keep up by hand.

Getting started

Wherever you're starting from, we bring the database across.

You're starting from a spreadsheet

Or from Notion, or from your LinkedIn network

We take the file as it is. Our Data Engineer deduplicates it, sets aside empty records and recodes missing fields from the CVs.

You're leaving an ATS

Full carry-over handled for you

Candidates, contacts, companies, notes, history, documents. Our connectors cover 32 ATSs on the market β€” and we help you request the export from your current vendor.

You're just starting out

Empty database, extension switched on

You start working on day one and the database builds itself alongside your business, profile by profile.

The questions we actually get asked.

I'm starting from a spreadsheet and my LinkedIn network. How do I get going?
We import the file as it is β€” no need to reformat anything. Our Data Engineer deduplicates and cleans it, you approve the rules applied, and you log in to a tidy database. If you'd rather start empty and fill it as you work, that's fine too: several independent recruiters make that choice.
My LinkedIn account is my livelihood. Is there any risk?
That's exactly why quotas are conservative by default: volumes capped according to your account's tier, randomised delays between sends, behaviour designed to look human. You see everything that goes out and you can stop it all in one click. If you want to push harder, the Intensive Cadence option lifts the caps β€” with your eyes open.
Is there a commitment?
Yes, and we'd rather say so here than at the quote stage: the subscription is billed annually, over twelve months. In return, your data carry-over is free and the price is locked for the period. Beyond that, nothing is imposed on you.
Does Marvin also help me win assignments, not just find candidates?
Yes, it's the same tool. Your companies and contacts live in the same database as your candidates, with their own pipeline and their own prospecting sequences. And Radar alerts you when a company you follow posts a role.
And my data?
Hosted in France with Scaleway, encrypted with AES-256, never transferred outside the EU. A French software company subject to GDPR, with a full compliance pack on request. And you stay the owner: you can export at any time.
I'm on my own today, but I plan to hire.
The licence is per user: you add one the day someone joins, without changing tools or starting another project. Several of our clients started with one seat and now have several.

Let's talk about your goals.

Thirty minutes on your live assignments and your actual database. Not a feature tour.
